Billing & Cancellation

This policy explains how trials, subscriptions, renewals, cancellations and refunds work for mastroHQ. It forms part of our Terms of Service.

The short version

  • Plans are billed in advance (monthly or yearly) and renew automatically.
  • On a free trial? You won’t be charged if you cancel before it ends.
  • Cancel anytime — it stops the next renewal, and you keep access until the period you’ve paid for ends.
  • Paid time is generally non-refundable, but we’ll always sort out a genuine billing error.
  • We give at least 30 days’ notice before any price increase.

The short version is a friendly summary — the full text below is what applies. This is a working draft and will be reviewed by counsel before launch; items in square brackets are still to be filled in.

1. Plans and billing

  • mastroHQ is sold on a subscription basis, priced by tier (based on managed team members) and billing interval (monthly or annual), in Swiss francs (CHF).
  • Fees are billed in advance — monthly plans each month, annual plans each year — and renew automatically until cancelled.
  • Payments are processed by Stripe. You authorise recurring charges to your payment method for each renewal until you cancel.

2. Free trials

  • Where a trial is offered (for example a 15-day trial), you may be asked to provide a payment method up front.
  • Unless you cancel before the trial ends, your subscription begins automatically and the first charge is taken at that point.
  • You can cancel at any time during the trial from your account or by contacting us, and you will not be charged.

3. Renewals

Subscriptions renew automatically for the same interval at the then-current price for your plan. We will give at least 30 days’ notice of any price increase that would apply on your next renewal. Where you have a written price lock or grandfathered rate, that price continues to apply as agreed.

4. Cancellation

  • You can cancel at any time, effective at the end of your current billing period. After that, your subscription will not renew.
  • Cancelling stops future charges; it does not, by itself, trigger a refund for the current period (see Section 5).
  • You retain access until the end of the period you have paid for. You can export your Customer Data for 30 days after your subscription ends — see the DPA.

5. Refunds

  • Monthly plans: fees already paid are generally non-refundable, and we do not provide partial refunds for unused time in a billing period.
  • Annual plans: non-refundable once the term has started, except where required by law or expressly agreed in writing.
  • Discretionary refunds: we may, at our discretion, grant a refund or credit — for example for a clear billing error, a duplicate charge, or a material failure of the Service that we cannot resolve in a reasonable time.
  • Mandatory rights: nothing in this policy limits any non-waivable statutory rights you may have under applicable law.

6. Failed payments

If a renewal payment fails, we may retry the charge and notify you. If payment remains outstanding, we may suspend or downgrade access until the balance is settled, in line with the Terms.

7. Taxes

Prices are exclusive of VAT or other applicable taxes unless stated otherwise. Where we are required to charge tax, it will be added at the applicable rate.

8. How to cancel or request a refund

Manage your subscription from your account, or contact us at billing@mastrohq.com. Include your account/business name and the relevant invoice or charge so we can help quickly.

9. Changes

We may update this policy from time to time; material changes will be notified as described in the Terms.
