Invite your crew and set roles

Getting your team into Mastro means the right people see the right things — and the job stops living only in your head. This takes a few minutes.

Understand the roles first

  • Owner — full access, including connections, billing and settings. Usually you.
  • Manager — runs the day-to-day: pipeline, quotes, team, SOPs, change orders.
  • Crew — on-site team. They get what they need to do the work (their hours, the SOPs), not the commercial picture.

Pick the lowest role that lets someone do their job — it keeps sensitive information tight.

Step 1 — Open the Team area

Go to Team in the app. You'll see the Crew roster alongside the timesheet.

Step 2 — Add a team member

On the Crew tab, add a crew member with their name and details. They join your roster immediately.

Step 3 — Give them their access

Depending on the person:

  • Office / management → invite them with a login and set their role to manager.
  • On-site crew → share the no-login links they need: their personal hours page for logging time, and the crew SOP link for procedures (see set up SOPs for your crew).

Step 4 — Archive people who leave

When someone moves on, archive them from the roster. Their history stays intact, but they drop off active lists and lose access.

A note on least privilege

It's tempting to make everyone an owner "to keep things simple." Don't. Roles exist so a new apprentice can log hours without seeing your margins. Set roles deliberately and you get the convenience of a shared system without the exposure.

Does every crew member need a login?

Not necessarily. Office and management roles get full logins; on-site crew can often work from no-login capability links (like the SOP reader and personal hours pages) instead of accounts.

What can a crew member see?

Access follows role. Owners and managers see the full picture; crew see what they need to do their work, not your pipeline or finances.
